# Say four things after a meeting and your CRM is up to date

After each meeting, say four things in about twenty seconds: who they are, where you met, what they are working on and what you promised with a day. Marrow turns that into a person, a logged meeting, a note and a follow up, and its reply lists each one.

A voice note can beat a form because you can do it walking out of the room. The skill is knowing what to say, so the note files something useful. Here is the routine.

## What to say in a twenty second note

Say the four things in this order, and stop when you have said them.

1. **Who.** Full name, role, company, and the city if you know it.
2. **Where.** The event or the person who introduced you, in words you will recognise later.
3. **What they are working on.** The project or the problem in front of them.
4. **What was promised, with a day.** Who owes what, and by when.

An example you could say as it stands:

> Leila Shamoun, creative director at Atlas Thread. Met at the fashion trade show, the booth beside ours. She is opening a pop up shop in Dubai and needs a fit out contractor. I will send her a contractor's name by Friday.

## The fields Marrow files from it

The reply opens with what was done, then one row per thing saved. Each row shows the stored value, so you read the record in the reply itself.

| What you said | What is filed |
| --- | --- |
| Leila Shamoun, creative director at Atlas Thread | The person, with name, role and company |
| In Dubai | The city, when you say one |
| Met at the fashion trade show | The meeting, logged with its date |
| Opening a pop up shop, needs a contractor | A note on the person |
| I will send a name by Friday | A follow up on that Friday, with the date worked out from today |

Marrow then asks whether to look the person up from their public profile. A lookup you ask for waits for your yes; a profile link you hand over is read straight away.

## Arabic and English in one note

Speak the way you think. Everyday Arabic, Levantine and Gulf speech included, Arabic in Latin letters and sentences that mix both are understood, and Arabic names are matched to Latin records. With a dialect Marrow has met less, check the name and the date in the reply. The reply comes back in the language of your note, one language per reply.

## When the transcript is wrong

The transcript sits in the bubble and the reply lists what was saved, so a wrong name or date shows while you still remember the right one. Fix it with a line in the chat, such as "her surname is Ghannam", or in the person's editor.

A noisy room can cause a misheard name, so say a hard surname slowly. If you start badly, slide away while holding to cancel the recording instead of sending it, because a sent note counts against your plan's voice notes.

## When a card photo or a screenshot is the better input

Pick the input that already holds the facts, and use your voice for what only you know.

| You have | Send | Why |
| --- | --- | --- |
| A business card | A photo of it, with a caption if you like | The printed phones, email and address are read from the card, and a QR code wins over the print |
| An email or chat thread | A screenshot | The people, the date and the promise are already written down |
| Neither, only a memory | A voice note | The context and the promise exist only in your head |

See [business cards](/features/business-cards) and [screenshots and threads](/features/screenshots-and-threads) for what each reads.

## Before you press send

Name and company said clearly, with the role if you know it.
Where you met, in your own words.
What they are working on right now.
What you promised, and a day for it.

## Where Marrow fits

Marrow is an app on iPhone and Android, in Beta. Hold the microphone in the chat, speak, release, and read the reply. Voice notes are kept as transcripts.

Who should not bother: if you cannot speak aloud where you work, type the same four things, because the chat takes text. If you meet one or two people a month, a notes app is enough.
