Five messages that put the next steps in writing after a first call
Send it the same day: thank them, write down the next steps as you understood them, and say what you will do and by when. A recap in their words helps the second conversation pick up where the first one ended.
The follow up after an opening call does one job: it puts the next steps in writing before either of you forgets them. Send it the same day, keep their words where you can, and name what you will do and when. Each message below is complete as written, and suits a different kind of call.
Five messages for after the call
A one liner, when the next step is clear
Fits a call that ended with an agreed action.
Amani, thank you for the call. I will send the pilot terms by Friday, and you will confirm the farm sites.
A three sentence recap
Fits a call with requirements you need to get right.
Ravindra, thank you for the time today. My notes: you want an outside view on the Chennai hub audit scope, the constraint is that vaccine shipments cannot be delayed, and your quality head signs off. I will come back with two scope options by Thursday; tell me if I have missed anything.
One with a concrete offer
Fits a prospect who is not yet convinced.
Hana, thank you for walking me through the school campus at Quarry Lane Architects. You mentioned the summer heat on the courtyards, so here is an offer.
Before our next conversation, I can put together a one page note on shading approaches for courtyards. We can talk about terms once you have seen whether it helps.
One for a warmer relationship
Fits a call with someone you already like and know.
Benedikt, that was a good conversation, thank you. I enjoyed hearing about the sailing trip you described, and I hope the weather held.
On the work side, I will send the crew training tender notes on Monday.
One in a more formal register, as a record
Fits a call with a larger organisation, where the email becomes the record.
Dear Ms Varga,
Thank you for your time on Tuesday. For the record, I understood the next steps as follows.
Tilde Learning: the school pilot requirements, by Tuesday 20 October. From me: a draft licence outline, by Tuesday 27 October.
Please let me know if your understanding differs.
Kind regards,
What a good recap holds
- Their problem, in their words.
- What each side does next, with a date.
- Who else needs to be involved, by name.
Where Marrow fits
After the call, tell Marrow in a voice note what was said and what you promised by when. It files the call and sets the follow up for that date. Ask for the recap and it drafts one from that note, marked not sent. You send it yourself, because Marrow does not send messages on your behalf. Marrow is in Beta, so read the draft for misheard names before you copy it.
